EDUCATIONAL TRIP REQUESTS
Vacations during the school year are discouraged as excessive absences affect a child’s academic performance. If unavoidable, students may be excused, with prior permission from the Head of School, for one educational trip per year totaling no more than 5 school days. Application must be in writing at least one week prior to the trip. Once permission has been granted, the classroom teacher must be consulted, in advance of the trip, about completion of academic assignments.

VOLUNTEER/CHAPERONE INFORMATION
All unpaid school volunteers must obtain the Act 34 Criminal History Record Check and Act 151 PA Child Abuse History Clearance. These clearances must be on file at the school office and be no more than 1 year old at the time of submission. You will be required to renew these clearances every 5 years. Volunteers include, but are not limited to, adults accompanying students on field trips. volunteers in the classroom (including Junior Achievement Volunteers) or volunteers for other school events. Please log your volunteer hours.
Criminal History Record Check. Please sure to mark “volunteer” on the home page to avoid the fee.
Child Abuse History Clearance. You will need to create a login and password in order to proceed if this is your first time on this site. Check the box for “create individual account” to proceed. Once you create your account you will need to then login with this information to continue the process. You may also download and print a PDF file (available here) and mail with a $13 money order.
These clearances are free for volunteers.
Federal Criminal History (Act 114 FBI Criminal History (Fingerprint)) through the Department of Education.
If the volunteer is applying for an an unpaid position and has been a resident of the Commonwealth of Pennsylvania for the entirety of the previous 10 years, then they must swear or affirm in writing that they are not disqualified from service based upon a conviction of an offense under §6344. If this applies to you, then you may complete and submit this Affirmation.
If you have been a resident of the Commonwealth of Pennsylvania for less than 10 years, you must follow the steps below:
Candidates can register to have their fingerprints taken at the new IDEMIA/Identogo locations. The process requires preregistration at https://uenroll.identogo.com/ and a service code for St. Stephen’s Episcopal School: 1KG6V5. When you enroll, you are given the opportunity to schedule an appointment at a local fingerprinting site. Candidates will need to select an appropriate identification document as a part of their registration and must bring it with them to the site when they are fingerprinted.OVERNIGHT ENVIRONMENTAL EDUCATION CHAPERONES. These chaperones must obtain the fingerprinting and cannot submit the affirmation.
The volunteer is responsible for paying the cost of any required clearances.
As the safety of our students is our greatest priority it is the duty of St. Stephen's Episcopal School to do it's own due diligence with regard to obtaining volunteer clearances. Therefore, you may be asked to provide new or additional clearances as needed. We understand that some volunteers may have already provided this information to their employers, churches, sports or scout organizations or other organizations but St. Stephen's Episcopal School must maintain it's own database of clearances. We appreciate your time and energy in volunteering to our school and your help in making this a safe environment for all students and staff. Department of Education FAQ regarding clearances.
SCHEDULING
All volunteer classroom visits must be scheduled with the classroom teacher. Teachers will notify the office at least 24 hours in advance of a parent volunteer's arrival. Upon arrival, parent volunteers and all guests must stop by the office, sign-in, and put on a visitor's badge. Before leaving, all volunteers and guests must sign-out at the office. This procedure is also required for field trip drivers.
SAFETY
All parent/guardian volunteers may not be alone with a student under any circumstance. Being alone with a parent/guardian volunteer's own child is the only exception.
WITHDRAWAL FORM
It is our desire to remain fiscally responsible and to be good stewards of the financial commitment our families have made to their children’s education. As such, to maintain a sound operating budget, the school has authorized a schedule for payment in tuition in the event a student withdraws after enrollment.
Please note:
Students whose academic or social-emotional needs exceeds the school’s ability to support the student may be asked to withdraw.
Families may initiate withdrawal by completing the Withdrawal Form.
Requests for the transfer of records must be presented in writing and signed by the guardian. A release form is available from the office.
All school debts, fees, tuition and replacement costs must be paid in full and all school property must be returned before student academic records will be released.
Fees are non-refundable. For a student withdrawing or discontinuing after the start of the school year, the family is responsible for the tuition payment for the month of withdrawal.
